How to Set Up Shopify Collaborator Permissions for AI-Assisted Store Management
Most store owners accept a Shopify collaboration request and assume the setup is done. It is not. This guide shows yo...
Shopify's help docs tell you to begin setting up Tap to Pay on iPhone inside the Shopify POS app. You cannot. The option is not there yet. You activate Tap to Pay in the regular Shopify admin app first, and only then does it show up as a payment method in POS. This guide walks the whole setup in the order that actually works, with a screenshot of every screen, plus the device check most people skip and then regret at the till.
What Is In This Guide
Key Takeaways
I set this up recently for an in person event where affiliates would be selling one product from their own phones. No card readers, no cash box, no hardware to ship around. Tap to Pay on iPhone is close to perfect for that, but the setup tripped me up in one specific way and it is worth writing down.
You need all of these in place or the option will not appear at all:
One more thing that is not obvious. Only the store owner can do this initial activation, and it has to happen on an actual iPhone. You cannot do it from your desktop admin.
This is the part the docs get wrong. Open the Shopify admin app on your iPhone, the one you use to check orders. Not the POS app.
Go to Settings, then Payments, then Shopify Payments. Scroll down past your payout schedule and your customer billing statement details until you see Tap to Pay on iPhone. Tap Manage.
That hands you over to Apple's own setup flow. You get an explainer screen showing how contactless payment works on iPhone. Tap Next.
You will be asked to confirm your Apple ID and accept Apple's terms of service. Use an Apple ID that belongs to you or to the business, not a personal account you would rather keep separate. You can change it later through Apple Business Connect, but it is far easier to get right the first time.
Then it processes for a moment.
And that is the Apple side done.
Back out and you land on the confirmation panel. Two things here are worth noticing.
First, the status now reads Connected. Second, and this is the part that saves you real work, every supported iPhone that logs into your store will automatically show Tap to Pay at checkout. You activate once. Your team does not each pair a device.
You activate once at store level. Every supported iPhone that logs in gets it. That is the whole reason this works for a team of affiliates.
You will also see a Manage Apple business account link on this panel. That is where you go if you ever need to change or remove the linked Apple ID.
Now switch to the Shopify POS app. There is nothing to activate here. You are only verifying that the toggle came through.
Tap the menu, then Settings.
Under the Checkout section, tap Payments.
You should see Tap to Pay in the list with its toggle on.
Read the line under the heading: changes will only affect this device. That matters more than it looks. These toggles are per device, not store wide. If someone on your team turns Tap to Pay off on their own phone, it is off for them and you will not see it from your end.
This is the step I would skip if I were in a hurry, and it is the one that would have burned me.
Back in the Shopify app, not POS, go to Point of Sale. You will see your location with a Devices count and a Staff row.
Tap into Devices.
Mine showed Offline. I had to disconnect the device and reconnect it before it would come online properly. If you see Offline here, sort it out now, not at the event with a customer holding a card out.
Also notice the message on the Point of Sale screen. POS user management has moved. It is now a single view covering all staff and admin roles, and you add users and assign permissions in Admin, then Settings. If you are following an older tutorial that sends you somewhere else, that is why you cannot find it.
If other people will be selling, whether that is staff, affiliates, or volunteers on a market stall, add them under Users and use the POS app only filter to keep them separated from your admin users.
Give them the minimum they need. Someone taking payments at a table does not need access to your products, your orders, your settings, or your payouts. Set the permissions tight when you create the account. It is much harder to remember to claw them back afterwards.
Then it is simple. They install Shopify POS on their own iPhone, sign in, and Tap to Pay is already there because you activated it at store level in step one.
Test mode blocks everything. If Shopify Payments is sitting in test mode, Tap to Pay will not connect and nothing will tell you why. Turn it off before you start.
Per device toggles. Changes will only affect this device means exactly that. Verify on every phone that will be selling, not just yours.
No fallback without hardware. Tap to Pay is contactless only. If a customer's card will not tap, your options are a different card or a phone or watch. There is no swipe and no chip insert without an actual card reader. For a busy event, decide in advance whether you want one backup reader on hand.
Run a live test and refund it. One real transaction on each phone, then refunded, confirms the whole chain: activation, device connection, the product tile, and the receipt flow. Do it the morning of, not the night before.
Check signal at the venue. Tap to Pay needs an internet connection and location services. Scout it, and know your backup spot.
No hardware to buy, ship, or charge. No cash to reconcile at the end of the day. Every sale lands in your store with your inventory and your reporting intact, on your normal in person Shopify Payments rate.
For a pop up, a market, a trade show, or a team of affiliates selling one product, this is about as low friction as in person selling gets. The only real barrier is knowing which app to open first. Now you do.
Because it has not been activated yet. Tap to Pay is turned on in the Shopify admin app, under Settings, Payments, Shopify Payments. Only after that activation completes does it appear as a payment option inside the POS app. Shopify's own help documentation describes the sequence the other way round, which is why so many merchants get stuck at this exact point. If you have already activated it and still cannot see it, check that the POS app is signed in to the correct store and that the device shows as online under Point of Sale, Devices.
No. That is the entire point of it. The iPhone itself becomes the contactless reader. You need an iPhone XS or newer running a non beta version of iOS, with Shopify Payments active and the Point of Sale channel installed. There is one trade off worth planning for. Tap to Pay is contactless only, so there is no swipe and no chip insert. If a customer's card will not tap, they need a different card or a phone or watch wallet. For a busy event, keeping one physical reader on hand as a backup is sensible.
Yes, and they do not each need to run the setup. You activate Tap to Pay once at store level as the owner, and every supported iPhone that signs in to your store will show Tap to Pay at checkout automatically. Add each seller as a POS app only user so they are kept separate from your admin users, and give them the minimum permissions they need. Someone taking payments at a table does not need access to your products, orders, settings, or payouts.
An Offline status in Point of Sale, Devices usually means the device has lost its sync connection to the store, even if the phone itself has working internet. The fix in most cases is to disconnect the device and reconnect it. Check this before any event rather than on the day, because a device sitting Offline will not process a Tap to Pay transaction. Make it part of your pre event routine along with a live test transaction that you then refund.
Yes, and this is one of the quietest failure points in the whole process. If Shopify Payments is in test mode, Tap to Pay will not connect and you will not get a clear error explaining why. Turn test mode off in Settings, Payments, Shopify Payments before you begin the activation. If you have been troubleshooting a setup that refuses to complete for no visible reason, check test mode first.
No. The initial activation has to be done by the store owner, on an actual iPhone, through the Shopify admin app. This is because the flow hands over to Apple's own setup process, which confirms your Apple ID and accepts Apple's terms on the device itself. Your desktop admin cannot complete that handoff. Once activation is done on one owner device, no other device needs to repeat it.
